IT-i9003 - Backup Retention Policy

1.0 Overview

The IT department routinely backs up important institutional and service related data to disk or tape backup. Occasionally, the university may be asked to provide some data to a court in accordance with a legal order or subpoena. This policy should serve as a guide to the backup policy in place to assist in these requests.

2.0 Purpose

This policy defines the backup and backup policy used for our primary disk and tape backup system.

3.0 Scope

This policy applies to the primary backup system used on campus - the EMU server.

4.0 Policies

4.1 Daily Backups

Daily backups will be maintained for a period of two weeks prior to overwrite. (14 sets)

4.2 Weekly Backups

The last backup of the week becomes that week's weekly backup. Weekly backups are maintained for one month (4 sets)

4.3 Monthly Backups

The last backup of the first week of the month becomes the monthly backup of the current month. Monthly backups are kept for a period of 3 months (3 sets).

4.4 Term Backups

The last backup of a term (Fall, Spring, Summer) becomes that term's term backup. Term backups are kept for a period of 1 year (3 sets).

5.0 Enforcement

The backup schedules will be audited once a quarter to ensure that the schedules continue to meet this policy. If the system is out of compliance, it will be modified to bring it back into compliance with the policy. If the backup conditions change and can no longer meet the current policy, this policy will be modified to reflect the new backup standard.
